A new office is an important landmark and is a sign your company\u2019s on the road to success. However, it can also be a difficult transition. Without realising, you\u2019ve likely built your company around processes that only work in one geographic location. In this article, we\u2019ll cover what you should be thinking about when rebooting your ways of working for multiple offices.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What you need to know before opening a second office<\/h2>\n\n\n\n<p>When you\u2019re opening a new office, there\u2019s no one-size-fits-all recipe for success. But here are a few tips we know have worked for companies that have made the transition:<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Use the 3 T system for decisions<\/h2>\n\n\n\n<p>Trust, Transparency, Timelines<\/p>\n\n\n\n<p>It\u2019s about striking the balance between collaboration and independence, and that involves trust, transparency and clear timelines. Be transparent about your expectations. If you don\u2019t trust a team to complete their side of the project, you won\u2019t get far. If the main office is too close to everything, you risk micromanaging projects. That means you\u2019ll suffocate your second office, and your team can\u2019t grow in the way that works for them. But if you give them too much freedom, there\u2019s a risk they\u2019ll do things too differently. That means your two offices won\u2019t feel like a coherent business to employees and clients.<\/p>\n\n\n\n<p>To get the balance right, we recommend using what we call the \u201c3 T System\u201d. The 3 Ts stand for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Trust<\/strong>: Let your team complete their side of the project without constant supervision.<\/li>\n\n\n\n<li><a href=\"https:\/\/online.ben.edu\/programs\/mba\/resources\/why-transparency-is-important-to-driving-operational-excellence\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Transparent<\/strong>:<\/a> Be clear about your expectations, and minimise ambiguity.<\/li>\n\n\n\n<li><strong>Timelines: <\/strong>Make sure all key dates and deadlines are agreed upon and written down, so there\u2019s no room for confusion.<\/li>\n<\/ul>\n\n\n\n<p>If you implement this system correctly, your second office should be able to operate independently while remaining in your orbit.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Effective delegation<\/h2>\n\n\n\n<p>As ad boss <a href=\"https:\/\/www.london.edu\/think\/business-heroes-david-ogilvy-the-father-of-modern-advertising\" target=\"_blank\" rel=\"noreferrer noopener\">David Ogilvy<\/a> said, \u201cWhy keep a dog and bark yourself?\u201d If you\u2019ve hired someone to do a job, it\u2019s important to let them do it. In small and fast-growing companies, this can admittedly be difficult. It\u2019s hard for bosses to accept that at some point, the company is too big for them to oversee everything. Instead, you need to put people you trust in managerial positions and let them report back to you.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1000\" height=\"667\" src=\"https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_1438960022.jpg\" alt=\"\" class=\"wp-image-10176\" srcset=\"https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_1438960022.jpg 1000w, https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_1438960022-300x200.jpg 300w, https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_1438960022-768x512.jpg 768w\" sizes=\"(max-width: 1000px) 100vw, 1000px\" \/><\/figure>\n\n\n\n<p>That\u2019s especially true when you open a second office, as the added distance can make bosses paranoid. It\u2019s easy to imagine that without you watching, the second office is shirking or, even worse, breaking all the rules. But the reality is almost always more mundane. Make sure you\u2019ve got the right lieutenants, and then give them the space to run your teams for you.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Choose meetings wisely<\/h2>\n\n\n\n<p>Parkinson\u2019s law says that \u201cwork expands so as to fill the time available for its completion\u201d. Today, you can probably amend that to \u201cthe number of meetings expands to fill the time available in the week.\u201d<\/p>\n\n\n\n<p>If your company suffers from <a href=\"https:\/\/www.ft.com\/content\/1b85bb76-f142-42e6-b480-e28f20e62892\" target=\"_blank\" rel=\"noreferrer noopener\">meeting bloat<\/a>, you\u2019re not alone. Indeed, the temptation to fill everyone\u2019s diaries with check-ins is worse when you have a second office. But don\u2019t take away others\u2019 productive time to soothe your nerves. Instead, create systems that let employees update you with progress in a way that fits their schedule. That might mean email updates, IMs, or even modern project management systems that make these tools redundant.<\/p>\n\n\n\n<p>You can also create rules like \u201cno meeting days\u201d that keep people focused on productive tasks. If you do, you\u2019re not alone. <a href=\"https:\/\/www.statista.com\/statistics\/456500\/daily-number-of-e-mails-worldwide\/\" target=\"_blank\" rel=\"noreferrer noopener\">According to Statista<\/a>, people send 306.4 billion emails in one year alone.<\/p>\n\n\n\n<p>Email might be what you\u2019re used to, but it\u2019s rarely the best option for internal communication. Unfortunately, email:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Forces staff to waste time on pleasantries<\/li>\n\n\n\n<li>Is overrun by spam<\/li>\n\n\n\n<li>Inefficient at sharing documents<\/li>\n\n\n\n<li>Is confusing when multiple people are CCed<\/li>\n\n\n\n<li>Makes it hard to segment internal and external messages<\/li>\n\n\n\n<li>Delivers urgent and non-urgent emails together by default<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1000\" height=\"756\" src=\"https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_402558205.jpg\" alt=\"\" class=\"wp-image-10175\" srcset=\"https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_402558205.jpg 1000w, https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_402558205-300x227.jpg 300w, https:\/\/storage.googleapis.com\/answerconnectbloguk\/1\/2023\/07\/shutterstock_402558205-768x581.jpg 768w\" sizes=\"(max-width: 1000px) 100vw, 1000px\" \/><\/figure>\n\n\n\n<p>Fortunately, companies are embracing better and new solutions. With apps like Slack or MS Teams, staff can reach each other regardless of location. They can also easily switch between IMs, group chats, calls, or video meetings depending on what\u2019s convenient. If clients use the same comms system, they can even stay in touch without switching to email.<\/p>\n\n\n\n<p>When opening an office, think about what you can use to make everyone feel like they\u2019re part of one culture.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Standardise operating procedures<\/h2>\n\n\n\n<p>Processes aren\u2019t glamorous, but when they\u2019re designed correctly, they make everyone\u2019s lives easier. Unfortunately, in a second office, it\u2019s easy for teams to informally invent new operating procedures. They might work very well for them but will create problems if the head office does things differently.<\/p>\n\n\n\n<p>Instead, work with your second office to devise procedures that <a href=\"https:\/\/knowledge.wharton.upenn.edu\/wp-content\/uploads\/KW_Wipro_Future_of_Industry_Anand_Sankaran.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">work for everyone<\/a>. Once they\u2019re designed, make sure everyone is trained on working with them.
